After a few months on a large project, you can easily have thousands of photos. Without a system, finding the right one feels impossible. Here’s how to build an organization system that scales.
The Folder Structure That Works
The most effective approach is a three-level hierarchy:
- Project — one folder per project
- Phase or Area — break the project into logical sections
- Date — within each section, organize by date
This gives you multiple ways to find any photo: by project, by location, or by when it was taken.
Tagging vs. Folders
Folders give you structure. Tags give you flexibility. The best systems use both.
Naming Conventions
Ditch the camera defaults. A good naming convention includes:
- Project code or abbreviation
- Date (YYYY-MM-DD format)
- Brief description
For example: OAKRIDGE-2025-03-15-foundation-pour.jpg
The Search Problem

When to Archive
